Newsletter settings

Turn the newsletter on, choose the mail account it sends through, and set your sender details and pace.

Open Settings → Newsletter. Everyone can look; only workspace owners and admins can change these settings.

Before the first newsletter can go out you need three things: the newsletter turned on, your sender details, and a sending account. The Sending account section tells you what's still missing, or shows Ready to send through … once everything is in place.

Turn the newsletter on or off

Use the newsletter in this workspace adds Newsletter to the sidebar for your whole team. Click Save.

Turning it off hides the newsletter again and stops sending — campaigns that are going out pause — but keeps every list, subscriber and consent record. Unsubscribe links in newsletters you already sent keep working.

Sender details

Printed at the bottom of every newsletter, as the law requires. You can turn the newsletter on without them, but nothing is sent until they are complete.

  • Organization name
  • Postal address
  • Privacy policy link
  • Legal notice link (optional) — your imprint page, if you have one.

Links must start with https://. Click Save.

Sender names

The names a campaign can be sent as, for example "Acme Product Team". Click Add sender name, enter a Name and, if replies should go somewhere other than the sending address, Replies go to (optional). You can keep up to 20. The address a newsletter comes from is always the one of the mail account that sends.

When writing a campaign, your organization name is always available as a sender name too.

Sending pace

Mail providers limit how much one account may send. Newsletters go out slowly enough to stay within those limits.

SettingWhat it does
Mail providerMicrosoft 365 / Outlook, Google Workspace / Gmail or Another mail provider. Sets the safe pace for that provider.
Recipients per dayAt most 2,000. Bigger lists take several days. Test mails count too.
Mails per minuteLeave it empty for the provider's safe pace (30 for Microsoft 365, 20 for Google, 60 for others), or set a lower value.

Click Save — one save covers the switch, sender details, sender names and pace.

Click counting

Shown once the newsletter is on. Choose what new campaigns start with under For new campaigns: Don't count clicks, Count clicks per link, or Clicks and opens per person, for people who agreed, then click Save. Each campaign can still pick its own before it is sent; see Clicks and opens.

People are only counted individually if they ticked the separate box for it when they signed up (see Sign-up forms). Only owners and admins can change this setting.

Sign-up forms

Shown once the newsletter is on. Settings for the public sign-up pages of your lists:

  • Consent to count opens and clicks — the text of the separate, optional box that a list's sign-up form can offer, e.g. "I agree that Acme may see whether I open the newsletter and which links I click. I can withdraw this at any time." Leave it empty to never offer the box. Changing it later only affects new consents.
  • Your websites — the websites where you show a sign-up form with the snippet. Only these websites can send sign-ups through the form shown there. Enter the address, e.g. https://www.example.com, and click Add. The sign-up pages themselves work everywhere, also in a frame.

Click Save sign-up settings. Everyone can look; only owners and admins can change them.

Sending account

Shown once the newsletter is on. Newsletters only go out through your own mail account, never through ours. You have two options:

A separate newsletter account (recommended). Click Add a separate newsletter account and enter the Mail server, Port, User name, Password and Sender address your mail provider gives you. Switch on Encrypted connection from the start (usually port 465) if your provider asks for it. Click Save newsletter account. The password is stored encrypted and never shown again; leave it blank later to keep it. Remove deletes the account.

Your support mail account. If your workspace already sends support mail (set up under Settings → Notifications) and there is no separate newsletter account, you can use that one instead. Click I understand, use the support account to confirm the warning.

Newsletters and support mail then use the same sender. Complaints about newsletters can affect the delivery of your support mail. If someone changes the support mail account later, you need to confirm again.

Stop using the support account takes the permission back. A separate newsletter account, once saved, always takes priority.

Test mail

Owners, admins and members can send the newsletter layout — with footer and unsubscribe link — to one address through the account in use. Enter the address under Send to, choose the Footer language and click Send test mail. The result tells you whether your mail server accepted it. A test mail counts toward today's limit.

Sender domain check

Mail providers trust newsletters more when the sender's domain is set up for them. Click Check and SolutionDesk looks up your sending address's domain and tells you what's missing for Allowed servers, Signature and Policy. If you know the name of your signing key (your mail provider shows it, e.g. selector1), enter it under Signing key name (optional) for a fuller check.

SolutionDesk never changes your domain — pass anything missing to your mail provider or IT.
