CRM settings

Switch the CRM on, set currencies, reminders, pipelines and your own fields.

Open Settings → CRM. Everyone can look; only workspace owners and admins can change these settings.

Turn the CRM on or off

Use the CRM in this workspace adds the CRM section to the sidebar for your whole team. Customers never see it. Click Save.

Turning it off hides the CRM again but keeps everything in it — switch it back on and it's all there. Linked support customers, tickets and portal users aren't touched either way.

The Pipelines, Fields and Import sections appear once the CRM is on and saved.

Currencies

  • Currencies — the currencies deals can be valued in. Keep at least one.
  • Default currency — preselected for new deals and used for the sums on the deals board. Amounts in different currencies are never added together.

Task reminders

The person a task is assigned to gets an email at 9:00 on the day it is due. Task reminders adds an earlier reminder for everyone in the workspace: Only on the due day, Also 1 day before, Also 2 days before or Also 1 week before.

Add new people from support as contacts

When this is on and someone new joins a support customer that is linked to an account, they become a contact of that account on their own. Someone who already is a contact with the same email address is always connected to that contact, whether this is on or not.

Pipelines

Pipelines lists your pipelines with their stages. Click Edit to change one, or New pipeline to add one.

  • Name of the pipeline.
  • Stages, in board order. Each has a Stage name, a Type — Open, Won or Lost — a Chance % to win, and (for open stages) Warn after days: deals sitting in that stage longer get a No activity for … days warning.
  • Every pipeline needs at least one open stage, exactly one won stage and at least one lost stage.
  • A stage that still holds deals can be renamed, but not removed.
  • Archived hides a pipeline from the deals board and from new deals; its deals stay as they are. The last active pipeline can't be archived.

Fields

Add your own fields to Accounts, Contacts and Deals — like a contract end date or a customer tier.

  • Label and Type: Text, Long text, Number, Select, Multi select, Date, Checkbox or URL. Select types get a list of Options.
  • Required — must be filled when a record is created.
  • Section — groups fields on the record's page (fields without one appear under “More details”).
  • Show in list — adds the field as a column and a filter on the list.

Drag fields to reorder them, then click Save fields. Removing a field hides it; what was filled in stays and comes back if you add the field again.

Import

Import from a spreadsheet opens the CSV import.
